President
The President shall ensure the coordination of efforts among elected officers and appointed committee chairs. The president shall preside at all general membership meetings and Board of Directors meetings. The president may sign, with the Vice President or Treasurer, contracts, checks, or other instruments and documents as may be required of and incident to the office of the President.
Vice President
In the absence of the President, the Vice-President shall act in the president’s stead. The Vice President shall oversee the preparation and implementation of the club’s financial budget as approved by the Board of Directors, prepare and file the federal and state income tax returns and information statements. The Vice President shall insure that the club’s insurance premiums are current and paid. In the event that the President’s office is vacated, or in the absence of the President, the Vice-President shall assume the duties or the office of president.
Ski Master
In the absence of the President the and Vice President, the Ski Master shall assume the responsibilities of the President. The Ski master and the Ski Master’s subcommittee shall coordinate ski instruction, club races, CMSC races, cross country ski program, the annual Ski Fest and all other recreational sports programs including volleyball. The Ski Master shall maintain and publish racing statistics and award club pins and trophies.
Executive Secretary
The Executive Secretary shall notify the Board of Directors of board meetings, record minutes of board meetings and general meetings. The Executive Secretary shall distribute copies of minutes to board members and be responsible for lost and found property. In the event of the absence of the Corresponding Secretary, the Executive Secretary shall act as Corresponding Secretary.
Treasurer
The Treasurer shall be responsible for all collections, receipts, deposits and disbursements of the general funds of the organization. The Treasurer shall be responsible for the maintenance of all books, accounts and records. The Treasurer shall submit an oral report to the Board of Directors once a month during the ski season and shall submit a written account and report at the end of the term as of April 30. The Treasurer shall also submit reports at such other times as the President may request. The books kept by the Treasurer shall be available for annual audit as requested by the Board of Directors.
Parliamentarian
The Parliamentarian shall ensure that Roberts Rules of Order are followed at general meetings and at board meetings. The Parliamentarian shall ensure that necessary quorums and required membership votes for motions are met. The Parliamentarian shall ensure that all motions are constitutional and that actions required by the Constitution are followed, advise on matters where the constitutionality is questioned, and ensure that club polices and the Constitution are upheld at Club functions. The Parliamentarian shall form and chair the Judicial Committee, preside at disciplinary hearings, write judicial interpretations, and keep Judicial Committee records. The Parliamentarian shall oversee that the Constitution is upheld at all elections and at special meetings requiring constitutional changes.
Webmaster / Corresponding Secretary
In the event of the absence of the Executive Secretary, the Corresponding Secretary shall act in the Executive Secretary’s
place. The Corresponding Secretary shall submit to the SnowTimes a monthly calendar of club functions and news regarding membership announcements and condolences. The Corresponding Secretary shall send cards and/or flowers as deemed appropriate by the club Board of Directors. The Corresponding Secretary shall count ballots when there is a voting by mail, and be responsible for the general correspondence of the Club.
Including development and maintenance of the OPSC website, sending broadcast
e-mails to club members and generally acting as OPSC web-master.
Lodge President
The Lodge President shall be the principal executive officer of the Lodge Corporation and shall supervise and control all of the business and affairs of the Lodge. The Lodge President shall be a voting member of the Oak Park Ski Club Board of Directors.
